Refund & Cancellation Policy — Transparency in Every Financial Decision
At NexGrad, we believe every learner should clearly understand the financial terms associated with their application and enrolment. This Refund & Cancellation Policy explains when refunds may be available, how cancellation requests are handled, and the process for requesting a refund. Our goal is to provide a fair, transparent, and consistent approach while respecting the policies of our partner universities.
1. Scope
This policy applies to payments made to NexGrad in connection with applications, admissions, tuition, and related student services, unless a partner university has a separate refund policy that specifically governs the programme. Where a partner university has its own refund rules, those rules will take precedence for the applicable programme.
2. Application Fee
Application fees are generally non-refundable once an application has been submitted and processing has begun. Exception: If a student's application is formally rejected by the partner university, the full application fee will be refunded.
3. Admission Fee
Admission fees are non-refundable. These fees cover administrative processing, admissions management, document verification, onboarding activities, and related operational services provided during the admission process. Once these services have commenced, the admission fee cannot be refunded.
4. Tuition Fee Refunds
Refund eligibility depends on the stage of the student's enrolment.
Withdrawal Before Learning Access
If a student submits a written withdrawal request within 10 calendar days of enrolment approval, and before access to the Learning Management System (LMS), digital learning resources, or academic services has been provided, the student may be eligible for an 80% refund of the tuition fee. The remaining 20% covers administrative processing and operational costs already incurred.
Withdrawal After Learning Access
Once any of the following has occurred: LMS access has been activated. Digital learning resources have been provided. Academic activities have commenced. Student access credentials have been issued. the tuition fee becomes non-refundable. This applies regardless of whether the student has actively accessed or used the learning materials.
5. University Rejection
If a partner university does not approve or accept a student's application, NexGrad will provide a 100% refund of all fees paid towards the application process, including the application fee. Refunds will be processed after the university's decision has been officially confirmed and all required verification has been completed.
6. How to Request a Cancellation
Students wishing to withdraw from a programme or request a refund must submit a formal written request. Cancellation requests should include: Full Name, Registered Email Address, Application or Student ID (if available), Programme Name, Reason for Cancellation, Supporting documents (where applicable). Requests may be submitted through: Email: info@nexgrad.ae. Verbal requests, WhatsApp messages, or telephone conversations will not be treated as official cancellation requests unless confirmed in writing.
7. Refund Processing Timeline
Once a refund request has been reviewed and approved, eligible refunds will normally be processed within 14 to 30 business days. The exact processing time may vary depending on: Banking procedures, Payment gateway processing, University confirmation (where applicable), Verification requirements. Students will receive confirmation once the refund has been initiated.
8. Payment Gateway Charges
Where applicable, payment gateway charges, bank transaction charges, currency conversion fees, and similar processing costs are non-refundable. These charges will be deducted from the refundable amount before payment is processed.
9. Programmes Governed by University Policies
Some partner universities maintain programme-specific refund and withdrawal policies. Where these policies apply, they will take precedence over this Refund & Cancellation Policy. NexGrad will clearly communicate any programme-specific refund conditions before admission is confirmed.
10. Circumstances Where Refunds May Not Be Available
Refunds may not be granted where: Incorrect or misleading information has been provided during the application process. Fraudulent or altered documents have been submitted. The student voluntarily withdraws after receiving LMS access or learning resources. The student fails to meet admission requirements after application submission. The student breaches university regulations or NexGrad policies. Services have already been substantially delivered. Each case will be reviewed individually where appropriate.
11. Refund Method
Approved refunds will normally be processed using the original payment method used during the transaction. Where this is not possible, NexGrad may request alternative banking information from the student before processing the refund. For security reasons, refunds will only be issued to the original payer unless otherwise required by law.
12. Policy Updates
NexGrad may update this Refund & Cancellation Policy from time to time to reflect changes in operational practices, university partnerships, legal requirements, or business processes. The latest version will always be available on this page together with the updated effective date.
